Real Estate software development

Platforms for agencies, landlords and property managers, from listing portals to tenant apps and portfolio analytics.

01Real Estate

Property software that keeps listings, leases and payments in sync

Property software connects records with long lifecycles: a listing becomes an enquiry, an application becomes a tenancy, and a lease creates recurring payments and maintenance responsibilities. A public search portal and a property manager's operations system need different interfaces, but they must agree on the property, the people involved and the current state of the transaction. We map that lifecycle before choosing the screens.

The first scope should name the users and the decisions they make. An agent needs to know whether a listing is current. A tenant needs to see whether a request was received. An owner needs reporting that can be reconciled with the underlying records. We define where each fact is maintained, who may change it and which system receives the update. That prevents a new portal from becoming another disconnected copy of the portfolio.

02Challenges

What makes Real Estate software hard

  • 01

    Duplicate data entry

The same property details typed into the CRM, the portal and the lease system.

  • 02

    Slow tenant service

Maintenance requests and payments handled by phone and email.

  • 03

    Scattered portfolio data

Occupancy, rent rolls and costs spread across spreadsheets.

  • 04

    Compliance paperwork

Leases, inspections and certificates tracked by hand.

04Considerations

Built in from the first sprint

The requirements we plan for on every project in this sector.

  • MLS and portal syndication
  • Payment and escrow integrations
  • Document retention and e-signature
  • Data residency for tenant records

Integrations in practice

  • 01

    Listings, portals and CRM

A listing feed needs more than a field mapping. We agree identifiers, publication rules, image handling and how withdrawals or price changes propagate. Where MLS or syndication access is involved, the available feed and permissions determine the integration. A reconciliation view helps operators find a listing that exists in one system but has not reached another.

  • 02

    Leases, documents and signatures

Lease records, supporting documents and signature status should refer to the same transaction. We define document versions, access and completion events before linking the tools. An incomplete signature or a replaced attachment needs a visible state rather than an assumption that the transaction is finished. Retention and residency requirements are part of the agreed scope.

  • 03

    Payments and property operations

Rent collection, refunds and maintenance requests touch different operational teams. We map how payment status appears to tenants and managers, and where accounting remains the financial reference. Maintenance workflows need ownership, status changes and escalation. The integration should make those responsibilities visible without giving every participant access to all tenant or financial records.

How we verify the work

Acceptance follows the property lifecycle. Tests cover a listing update, a new tenancy, a failed payment and a maintenance request that changes owner. We check the public view and the operator's view together, so an attractive portal does not conceal stale or contradictory records. Search performance is measured against representative portfolio data and the filters your users actually need.

Migration starts with the quality of existing property, tenant and lease records. We agree duplicate handling and reference identifiers before importing data, then reconcile the result with the system being replaced. Handover includes the feed configuration, reconciliation process and responsibility for failed updates. The goal is a system the property team can operate, not a new set of hidden manual corrections.

09FAQ

Frequently asked questions

View pricing guide
Can you connect to MLS feeds?

Yes, through the RESO Web API and the major listing syndication services.

Do you build for commercial property too?

Yes, including portfolio reporting and lease management for commercial landlords.

Can the portal work with our existing property CRM?

We review its API, data exports and listing model during discovery. The integration plan defines which system owns each field and how updates or withdrawals propagate. If an API is limited, we explain the available alternatives and their operational trade-offs before fixing the scope.

How do you handle tenant and owner permissions?

We map roles and the records each participant needs: tenants, owners, agents, maintenance teams and administrators. Permissions apply to documents and integration actions as well as screens. The agreed data-residency, retention and access requirements are reviewed before production rather than added after the portal is built.

Can you migrate our portfolio data?

Yes, after reviewing source records and the target model. We agree identifiers, duplicate rules and how leases, documents and payment references remain linked. A trial import and reconciliation reveal data gaps before cutover. The migration plan includes a way to recover if the agreed checks fail.

What determines the cost of property software?

The user journeys, portfolio data quality, listing feeds, payment workflows and document requirements drive the scope. A search portal and a full property-management platform are different engagements. We use discovery to define the first release and provide a written estimate, with relevant product and integration ranges in the pricing guide.
